Ride/Touring Chair Guidelines

- Ride/Touring Chair – Touring General Duties
-
- The BCC Rides/Touring Chair will direct the BCC touring program and have principle responsibility for the quality, variety, and safety of the Club’s rides. Among his/her specific duties shall include:

- Recruitment, orientation, and training of ride leaders
- Work with the Statistician to make sure rides are credited properly and to resolve any issues in a timely manner
- Scheduling and presiding at quarterly meetings of the Touring Committee
- Entering rides on the BCC Schedule (calendar)
- Reporting to the Executive Board on the progress “rides”
- Presenting recommendations from the Ride Committee to the Executive Board
- The Touring Committee
- The Touring Committee is comprised of interested BCC members. The Committee will meet quarterly to discuss improving the touring program, recommend touring awards, and other business.

- Highlights of these meetings will be communicated to the club membership at general membership meetings and in the club newsletter.
Members present at a committee meeting shall constitute a quorum for the conduct of business. The vote of a majority of members voting on an issue shall decide questions brought before the committee for a vote.
- Committee recommendations for changes to these Guidelines must be endorsed by the
- Ride/Touring Chair and approved by the BCC Board to become effective.

- The touring committee members will help the Ride/Touring Chair with recruiting and training ride leaders.

- Rides and Ride Leaders
-
- The Bluegrass Cycling Club strives to offer a variety of safe, fun rides at all levels and paces so all members and guests will have the opportunity to participate in club rides, although all rides will not be appropriate for all riders due to pace, speed, distance, category, or other factors.
- The BCC ride leader is responsible for setting the parameters of his or her ride, and it is the responsibility of any club member and guests who attends a ride to be familiar with the conditions for the ride and not to attend a ride that he or she is not capable of participating in because of pace, terrain, distance, equipment, experience, or other reasons. To ensure the safety of all participants, if a BCC ride leader is uncomfortable with any member or guests seeking to participate in a ride, the ride leader may request that the member or guest not participate.
Ride Season Guidelines, Mileage Credits and Ride Leader Credits

- Ride Seasons Guidelines

- Year Round

- Mileage will be maintained for the entire year running January thru December of each year
- Awards will be given based on mileage, refer to Ride Awards Section
- Touring
- Mileage for the touring season will be maintained from March 1st through October 31st of each year
- Awards will be given based on mileage and rides lead, refer to Ride Awards Section
- Ride Schedule (Calendar)
- The following can be included on the ride schedule, but mileage credit will be given based on Mileage Guidelines below:

- Club Rides
- Local area rides that are lead by a member of the BCC

- Shop Rides
- Local cycle shops are encouraged to lead rides
- Shop rides are to be lead by a member of the BCC

- Races
- USA Cycling- or NCAA-sanctioned bicycle races may be included in the BCC Ride/Event Schedule. All bicycle race entries must be approved by the Racing Chair and the Rides/Touring Chair. Also dependent upon approval of insurance.

- Non-BCC Events
- Rides from other clubs or organizations may be included on the BCC schedule
- (Local/Regional Rides such charity rides like as Bike MS and the Old Kentucky Home Tour)

- Mileage Credit/Ride Classifications

- Mileage Credit

- General:
- Mileage credits will be awarded based on the Ride Season Guidelines for Year Round and Touring. Mileage credit will be given only for rides posted on the Club’s Ride Schedule (calendar), with a designated Ride Leader and the Ride Classification.

- Ride Posting:
- Rides must be submitted to the Ride/Touring Chairman 72 hours in advance of the ride. If the ride is submitted past the 72 hour cutoff it can be posted at the discretion of the Ride/Touring Chairman.

- Ride Classifications
- Local - Rides less than approximately hour driving distance are local rides based upon the approximate driving distance to the ride start.
- Out-of Town - Rides greater than approximately one hour driving distance are out-of-town rides based upon the approximate driving distance to the ride start.
- BCC Sponsored Ride (example: Horsey Hundred)
- Ride route is mapped and provided by BCC members/ride leader
- The BCC provide liability insurance coverage
- Non BCC Sponsored Ride (example: Old Kentucky Home Tour)
- Registration fees are paid to another entity
- Fund raising is required
- The Ride/Touring Chair will have final say on the classification of a ride as local, out-of-town, sponsored or not sponsored by the BCC.

- Mileage credit will be award to rides based on the following ride classifications:

- Local - BCC Sponsored Ride
- Mileage will be awarded as listed on the BCC Sign-up Sheet, Release and Waiver of Liability form
- There are no requirements for a minimum number of riders
- Local – Non BCC Sponsored Ride
- Mileage will be awarded as listed on the BCC Sign-up Sheet, Release and Waiver of Liability form.
- The maximum mileage that may be awarded is the longest distance listed for the ride in the BCC Ride Calendar/Schedule.
- There are no requirements for a minimum number of riders
- An BCC Member must act as Ride Leader for the ride
- Out-of-Town – BCC Sponsored Ride
- A minimum of 6 BCC members must attend the ride.
- Mileage will be awarded as listed on the BCC Sign-up Sheet, Release and Waiver of Liability form
- A BCC Member must act as Ride Leader for the ride
- The maximum mileage that may be awarded is 100% of the longest distance listed for the ride in the BCC Ride Schedule. If there is no local ride the entire mileage of the ride will be awarded.
- There must be no attendance restrictions for the ride other than general equipment restrictions. (Lights required, must supply own camping gear, off road bike required, etc.).
- Out of Town – Non BCC Sponsored Ride
- A minimum of 6 BCC members must attend the ride.
- Mileage will be awarded as listed on the BCC Sign-up Sheet, Release and Waiver of Liability form
- A BCC Member must act as Ride Leader for the ride
- The maximum mileage that may be awarded is 100% of the longest distance listed for the ride in the BCC Ride Schedule. If there is no local ride the entire mileage of the ride will be awarded.
- There must be no attendance restrictions for the ride other than general equipment restrictions. (Lights required, must supply own camping gear, off road bike required, etc.).
- Ride Cancellation or Shortened:

- Rides canceled or shortened by the ride leader after the start of the ride because of inclement weather or other circumstances respecting safety, are eligible for mileage ridden to the point of cancellation, based on the BCC Sign-up Sheet.
- Rides canceled prior to the start of the ride will receive no mileage credits.

- Excluded Rides:

- The Executive Board can exclude rides from receiving ride credits. A list of rides and reasons for not giving credits shall be maintained in this document. Others maybe added by the Executive Board as needed. Rides that are excluded are as follows:

- Horsey Hundred – Volunteers are vital to the success of this club sponsored ride. This is our major ride of the year and our major fund raiser. There was extensive discussion on alternatives and no solution that would satisfy everyone could be found. The board hopes that everyone will volunteer to keep the Horsey Hundred the largest organized ride in Kentucky.

- To receive Credits:

- Ride Leader Credit will awarded to ride leaders who fulfill their ride leader responsibilities, including planning the route, submitting the ride for posting to the schedule, providing maps, ensuring that all riders have signed in and accounted for, and submitting the sign-up sheets to the Club Statistician within 14 days.

- Credits for Canceled Rides:

- Ride Leaders whose rides have been canceled due to inclement weather or other safety considerations will not receive ride leader credit.

- Additional Ride leaders:

- A ride leader may designate one or more co-leaders to sweep alternate routes or if it becomes necessary to split the group. The co-leaders will also be awarded Ride Leader
- Credit provided the Club Statistician is notified by the original ride leader. Adding the co-leaders name to the ride sheet is acceptable notification to the statistician.

- Ride Leader Awards:
- Awards will be given based on rides lead, refer to Ride Leader Awards Section for details.

- Touring Year and Season Definitions

- Mileage credit for Touring Award Jerseys will be based on a touring season that runs from March 1st through October 31st Individual lifetime mileage credit and ride leader credit will be accrued based on a touring year that runs from January 1st to December 31st of the following year. Lifetime mileage begins with the 2005 ride season mileage listed on the webpage.

- Touring Award Jerseys

- Yellow Jersey

- A yellow jersey is awarded to the male and female riders who have accumulated (according to the Club statistician) the most club miles in the touring season.
- 100 Ride Award

- Any rider who has ridden (according to our statistician) 100 or more rides in the touring season shall receive an award of appropriate recognition.

- Lifetime Mileage Awards

- 25,000 Mile Award
- Awarded to any rider that has accumulated (according to the Club statistician) 25,000 lifetime miles as of the last day of the current touring season.

- 50,000 Mile Award
- Awarded to any rider that has accumulated (according to our statistician) 50,000 lifetime miles as of the last day of the current touring season.

- 75,000 Mile Award

- Any rider who has accumulated (according to our statistician) 75,000 lifetime miles as of the last day of the current touring season shall receive an award of appropriate recognition.

- 100,000 Mile Award
- Any rider that has accumulated (according to our statistician) 100,000 lifetime miles as of the last day of the current touring season shall receive an award of appropriate recognition.

- Ride Leader Awards

- Ride Leader Jersey
- A jersey is awarded to any ride leader that has led at least ten (25) rides for the touring year (according to the Club statistician). Ride leaders will be recognized after leading 10 rides in a season.
- Special Awards

- The Rides/Touring Committee, at its discretion, will confer special awards for outstanding accomplishments or contributions to the Ride/Touring Program.
