Executive Committee & Board of Directors Meeting Minutes: March 12, 2008 7:00 pm Shiners Hospital

Proceedings:
----Meeting called to order at 7:00 pm by Peggy Littrell, President with greetings to board members, Committee Coordinators, BCC members and Quests. Special thanks to Terri Hostens and Shiners Hospital for providing meeting space and refreshments
----VP Report Bill Fortune had nothing to report at this time. No report for by-laws at this time.
----Treasure Report Sandy Duff reported $33,000 in assets in the bank. The accountant will file tax return to maintain tax status as 501C4. The present funds are enough to get started with HH expenses & Jersey Costs.
----The Minutes of February 12, 2008 are approved as read by Christopher Rowe who had taken them in Bonnie Walters Absence.
----Horsey Hundred Report Mindy Taylor reported the current status of the HH. Entries are proceeding well @ Active.com. “T” Shirts are available from the on-line store to be picked up on site @ the event. She is well pleased with the design created by Pam Thomas. Arrangements are being made to have a mechanic to be available. A polar bottle will be available for sale. 480 was approved for purchase. Mindy is working with the city of Georgetown to obtain exemption of the vendors fee.
----Ride for the Red Mindy reported for Dwayne Edwards. The ride will be on May 10th. Bill Mullikin will do the dinner and has donated his labor expenses to the Red Cross. BCC member are encouraged to participate. The cost is $18. A mass mailing was suggested. Information will be posted on the Forum and Home page. A couple of promotional event are planned. May 2nd Z103 radio station will be at Pedal the Planet at 4 to 6 pm. May 6th Lee Cruse will broadcast WLEX for Pedal the Planet at 5:30 am.
----Racing committee report Christopher Rowe Chair. He has reinstated the Tuesday night training rides and has had a good turn-out, including a professional rider from Rite Aid. The 1st race Criterium will be Saturday March 15th. About 3 to 40 people are expected to sign up. The expenses have been covered and he expects to break even.
----Advocacy Committee Report. Jennifer Redmond is on vacation. Griff Baute reported in her absence. The VPAC had their 1st meeting to set priorities and sub committees. The mayor’s task force is one of the sub committees. They will meet the 1st Friday of the month at noon. The state version, KBBC meets the 3rd Wednesday, 9:30 to 11:30 am. The state must decided what to do with the money form the “Share The Road” license plate . Tiffany Jackson has taken a position in the private sector and her position needs to be filled. The person must have an engineering background. Griff Baute has the pertinent information.
Bike Lexington is May 17th and McKenzie Gleason is looking to the BCC for volunteers to help block streets. She needs even more help this year because of limited police assistance.
-----Education Committee: Griff Baute, No Report.
----Social Committee: Peggy Littrell reported for Dwayne Edwards. The kick off dinner went well. There was a good number attending and all seemed to enjoy the food and location.
----Web Site Report: Nedim Slijepovic was unable to attend. The domain registration will expire in September. The . ORG will be dropped and people attempting to reach us from the old web site will unable to do so. The cost is $18.95 and $14.95/Year. A motion was made to approve this expense it was second and approved by all. Griff Baute will assist with the contact page and forward request to appropriate people.
----Ride / Touring Committee: Tom Walters absent.
-----Statistician: Ken Duff reported he is helping Tom Walters and has his 1st ride stats to impute.
-----Nominating Committee: Continues to be vacant without a chair.
-----New business: Guest and BCC member Randy Thomas is board president for the Midway Renaissance organization. He reported they wish to promote Midway Main Street as a favorable destination. And, want to work to establish a good relationship with the club to encourage more biking in the area. He mentioned the “Tour De Tulip” sponsored by the Black Tulip Restaurant. It will be held Saturday April 26th at 9:00 am beginning with a breakfast and ending with lunch. The route length from 16 to 39 miles. The cost is $30. This covers the food and “T” Shirt, guaranteed to the first 100 riders.
Other proposed projects: Share the road markers; Green Space; and developing a local trail. A bike safety day is also in the works. Consideration will be given for possible bike donation at that time since some of the Christmas bikes are still available. Peggy encouraged him to post more rides from Midway as a means to continue to draw bikers to the area.
----Adopt a Highway Cleanup: Bonnie Walters requested reconsideration for the cleanup. Tom Walters would like to coordinate the cleanup since the area is covered by his Friday Ride. He feels that the effort promotes good will with the folks that live in the area. The motion was approved and passed by member of the Board of Directors.
----Mark Tremble from Pedal the Planet: Mark has spoken to Peggy Littrell regarding some promotional ideas. Unfortunately he was unable to attend due to illness. Peggy said he was happy to have a display featuring a Jersey and BCC brochures. He also wondered about offering point of sale membership. It is difficult for the shop to offer discounts since they do not have a membership list.
----New Brochures: Christopher Rowe is working on the new brochure. A sample was presented. He asked all chairs to review the language pertaining to their committee and get with him regarding any ideas on and additions or changes. The picture needs to change to reflect our area and road biking.
----Bethel Church / Club function location: Ken Duff has suggested consideration with partnering with the Bethel Church to use the space as a club function location. All seem to enjoy the 1st ride of the season and pot luck from there. This idea is tabled for the moment.
----Storage of give away bikes: At the present time Ken Duff is storing the left over bikes from the giveaway. He needs to use the space. Christopher Rowe offered to keep the bikes with the Yellow Bike Storage, located on Delaware, behind the Herald Leader. This brought up a new discussion about the bike give a way program. The club may need to think of how to structure this event. It is a big job to put the bike together. Could another time work out better. A suggestion was made to consider the school doing it in conjunction with the school year at the ending of the school year.
----Shiners Hospital: Terry Hostens reported that she will be leaving Lexington for another job with the medical College of Virginia in Richmond. She will have someone else available to facilitate our monthly meetings. A special thanks was given by all in appreciation for the assistance she has provided to the board.
